Overview

To use translations for site and participant study materials, you must add the language at the study level. After a language is added, you can select which collection version includes translations.

Languages must be enabled for sites and participants, and complete translations must be added for the languages before they can be used.

  • Study Languages: Defines which languages are available for the study.
  • Site Languages: Enables translations for the site staff in Veeva eCOA.
  • Participant Languages: Enables translations for patient-facing materials in MyVeeva for Patients.

How Languages Become Available

To configure a language to be displayed for a study for sites or participants, follow this workflow:

  1. Add Study Language: This step makes the language available to add for sites and participants, but does not set it as required.
  2. Configure Site and Participant Use: This configuration determines whether translations will be required for site staff and/or participants.
  3. Provide Translations: A collection cannot be approved until required translations are provided.
  4. Approve Collection Version: Approving the collection version makes the translated content available in Veeva eCOA and MyVeeva for Patients.

Study Languages and Translations

Adding a Study Language

  1. In Studio, open Study Settings and select the Study Languages tab.
  2. Select Add Language.
  3. Choose the languages that are required for your study. See the Available Languages appendix for a complete list of supported participant languages.
  4. Select Save.

Enabling a Language for Sites or Participants

Study languages are enabled for participants by default.

  1. Open the Collection and go to the Languages tab.
  2. If a language is available for sites, the Edit icon appears. Select the edit icon.
  3. In the modal, select whether the language is for:
    1. Patients only
    2. Sites only
    3. Patients and sites
  4. Select Update.

Once a site approves a collection that includes site or participant languages, the language becomes available for use at that site in Veeva eCOA (for site languages) and MyVeeva for Patients (for participant languages).

Managing Collection Languages and Translations

Checking Collection Languages and Translation Status

To see which languages are in use:

  1. Open a collection.
  2. Select the Collection tab.
  3. Select the Languages tab.

Adding or Excluding Languages in a Collection Version

  • To add a language to the collection, ensure that the language is added in Study Settings, and turn on the Include in Version toggle in the Languages tab.
  • To exclude a language, turn off the Include in Version toggle.

Providing Required Translations

Translations for included languages must be uploaded for required languages before you can start UAT.

To check translation progress:

  1. Open the Collection and go to the Languages tab.
  2. Review the Status column.
    1. No items translated: No translations uploaded.
    2. Partial count: Some translations have been uploaded. Hover over the count to see details in a tooltip.

For specific surveys:

  1. Select the Surveys tab.
  2. Check the Translated column.

Downloading and Uploading Translations

Download Translations or Untranslated Text

Open the Languages tab in the collection.

Select the Download Translations icon next to a language, and select one of the following options:

  • Download All Translations: A JSON file containing all completed translations.
  • Download Untranslated Text: A JSON file of untranslated content.
  • Download Source-Populated Translations: A JSON file of untranslated content with the source language populated for the translation language.

Uploading Translations

  1. Select Upload Translations in the Languages tab.
  2. Drag-and-drop or browse your computer and select the language JSON translation files.
  3. Select Upload. The system matches the files to the correct languages.

Removing a Study Language

You can only remove a study language if it has not been used in an approved collection:

  1. In the Study Settings tab, select the Study Languagestab.
  2. Select the Remove Language icon .
  3. Select Remove in the confirmation pop-up.

The language is removed.

Viewing the Translation History Report

The Translation History Report can help you and your translation vendor reconcile translation versions more efficiently by displaying file upload changes between collection versions since deployment in a single, consolidated view. This allows vendors to confirm that no UAT changes impacted the translated content, even if the collection version number changes, to ensure their Certificate of Translation (CoT) remains accurate.

Generating the Report

  1. In Studio, open a collection.
  2. Open the Languages tab.
  3. Select the more options menu () next to the Upload Translations button, and select Download Report.

The report automatically downloads to your device after it finishes running.

The file is named with the study’s name and a date/time stamp of the export. The system does not store previous exports, so you must download a new report each time you need it. The latest version is always downloaded, regardless of which collection version you download the report from.

Report Contents

  • Collection Version: The version number of the collection associated with the survey (such as 0.1). For library surveys, the version number is the collection version the library survey was added to.
  • Survey Label: The label of the survey that was approved for the latest collection version. If the same survey has had more than one label, both labels are displayed.
  • Language: The language code of the translated language, such as de-DE.
  • Filename: The name of the translation JSON file that was uploaded.
  • Uploaded On: The date and time when the translation JSON file was uploaded.
  • Timezone: The user’s local time zone when the translation JSON file was uploaded.

All collection statuses except Deleted are included in the report. The report also shows all languages in the latest collection, even if the Include in Version flag is turned off. Deleted and removed surveys and languages are omitted from the report.

Appendix: Available Languages

Veeva eCOA (Site)

Based on local regulations, Veeva supports the languages below for site users in the listed countries.
