All internal and site staff users can review and explore the study schedule, including all surveys, schedules, and notifications that are configured. You can also interact with the surveys as a user would.
Viewing the Study Schedule
Complete the following steps to view the study schedule:
- Open the study schedule in the following ways:
- In Studio, open the collection, select the All Actions menu (
) next to the Version number, and select Preview Study Schedule. - After the collection has been approved, view the study in eCOA Vault, and in the Study Versions section, select Preview Schedule next to the study version you want to view.
- In Studio, open the collection, select the All Actions menu (
- If the study includes groups, select the combination of group assignments you want to view the study schedule for and select Continue.
- The Study Schedule opens. The study schedule displays the following information:
- The surveys configured in the study.
- The events that make surveys available or criteria check events, if configured.
- The expected window of time for the respondent to complete the survey in, if configured
- Different markers that represent whether a survey will be sent once, multiple times, or can be completed as needed.
- Select a cell to see the Details of when the surveys will be sent, including whether the survey is a training or diary survey.
- To view any notifications that are associated with the survey, select Show [#] Notifications. The notifications are displayed in the Detail panel. If no notifications are active for this survey, you will not see the notification text.
Note: If timepoint appears in any part of the survey label, the survey is likely used in multiple schedules. A timepoint token is configured to help survey respondents identify which schedule the survey submission belongs to. The survey content is the same for all schedules.
Understanding Study Events
In the Event column of the table, events for the study are listed in the order they occur. If an event has additional details, you can select the cell to open the Event Details.
Understanding Survey Schedules
Complete the following steps to understand how a survey is scheduled to be made available:
- Select the icon that includes the survey you want to preview. The Details open. In the details, you can view information about what events will trigger the survey to be made available, how long the survey will be made available for, and what events can cause the survey to stop being available.
- To view any notifications that are associated with the survey, select Show [#] Notifications. The notifications are displayed in the Details panel. If no notifications are present for this survey, the Show [#] Notifications option is not displayed.
Previewing Surveys
To preview a survey from the respondent’s perspective, find the survey you want to preview and select the Preview Survey icon (
). When editing a survey, the action is only available if all the JSON code is valid.
To preview a survey in a different language (if translations have been uploaded), select the language using the Change Language button.
To see how the survey is displayed on different devices, select the Device Options (
) icon and select a predetermined device size, enter the width and height for a custom device size, or rotate the preview device with the Rotate icon
(
).
To change the survey responses while completing a survey in the preview, select the Reset button at any time. After submitting the survey, you will view a read-only version of the completed survey as a site staff member would see it. Any configured scores are displayed at the top of the survey.
To change the responses and re-submit the survey, select the Edit button. Viewing the scores of survey submissions with various responses can help you validate the scoring configuration.
When previewing composite surveys, there is a part selector where you can preview the Full Survey or individual parts to see how an individual respondent would complete their survey part. If you have scoring configured, previewing and completing the full survey is the only way to access the configured scores.
