You can set a Participant ID format of up to 128 characters if you want the system to enforce a specific format when site staff members create participants in eCOA. If you do not set a format, the system will not enforce any specific format.

You can include static text, such as other letters, numbers, hyphens, or other symbols, that should be included in all IDs and define variable sections using these symbols:

  • Number signs in brackets [#]: Each number sign represents one variable numeric character that will be entered in the specified position.
  • At signs in brackets [@]: Each at sign represents one variable uppercase alphabetic character that will be entered in the specified position.

Number signs and at signs have to be in separate brackets. For example, to require a format of 3 letters followed by 3 numbers (such as JPS435), you would enter: [@@@][###].

Adding a Required Participant ID Format

Follow these steps to add a required format:

  1. In Studio, select the Study Settings tab, then select the Participant ID Format tab.
  2. Enter the format you want in the Format box.
  3. Use the Copy Numeric Variable icon () to copy number variables, highlight a set of numbers you want to replace with variables in the Format box, and press CTRL+V to paste them in.
    • Add or remove # in the brackets as needed to change the length of the variable.
  4. Use the Copy Alphabetic Variable icon () to copy alphabetic variables, highlight a set of letters you want to replace with variables in the Format box, and press CTRL+V to paste them in.
    • Add or remove @ in the brackets as needed to change the length of the variable.
  5. Review the example value under the Format box to confirm it looks correct.
  6. Select Save.
  7. Select Continue to apply the format.

Updating a Required Participant ID Format

Follow these steps to update the required format:

  1. Make any necessary changes in the Format box.
  2. Select Save.
  3. Select Continue to apply the updates.

Removing a Required Participant ID Format

Follow these steps to remove a required format:

  1. Clear all text from the Format box.
  2. Select Save.
